How to use the Sample Notarized Document tool

The tool walks you through three steps to create your exemplar. There is no single "Generate Exemplar" button — follow the wizard below.

Step 1 — Asset Setup

  1. Open Create Sample Notarized Document.
  2. Click Upload PDF and select the PDF you want to notarize as your exemplar.
  3. Enter your digital X.509 certificate (.p12/.pfx), certificate passphrase, and official electronic notary seal image.
  4. Click Proceed to Practice Document.

A physical notary stamp is not required for this flow.

Step 2 — Practice Document

  1. Use the Notary Seal tool to place your official electronic seal on the document.
  2. Drag a Signature field onto the document and draw your signature with the Signature tool.
  3. Click Finalize document to apply your certificate-backed electronic signature.

Do not paste images of your seal or signature. New York and other states routinely reject pasted images — always use the built-in Notary Seal and Signature tools.

Step 3 — Finalize & Deliver

  1. Your signed PDF downloads automatically when finalization completes.
  2. Click Download Signed PDF on the confirmation screen if you need another copy.
  3. Upload the PDF to your Secretary of State online notary application when it requests a sample notarized document or exemplar.

How to notarize a document for a New York (NYS) exemplar

New York requires a sample notarized document showing your drawn electronic signature, official electronic seal, and digital certificate provider information when you apply for remote online notary authorization.

  1. Set up your New York digital certificate and electronic seal first.
  2. Open the Sample Notarized Document tool and complete all three steps above.
  3. Download the signed PDF and upload it to the NY DOS online notary application.
