Common Booking Scenarios

Keep Waiting Time Off the Booking Form

Assess waiting time yourself, starting with the first completed block at 15 minutes.

β€’

You want waiting time assessed during the appointment: $15 for each completed 15-minute block if the appointment proceeds, with no additional waiting charge for a no-show.

Hide the charge from public add-ons

Choose Staff applies. Per Unit controls the calculation, and Waiting time identifies the fee category. Neither setting by itself makes a Customer selects charge private. Customer selects is an optional public booking add-on, so it can still appear in Incognito.

  1. Open Additional Charges and edit or create your waiting charge.
  2. Enter a label such as Waiting time, choose Per Unit, and set the fee to $15.
  3. Under Apply this charge, choose Staff applies. Set Fee category to Waiting time, then save.
  4. Assign the charge to the applicable External Services so customers can review the rate and new bookings retain it. Add a Waiting Time policy describing when waiting starts, when it ends, and the no-show exclusion.

Staff applies hides the charge from selectable add-ons even without a Waiting Time policy. The rate and applicable policy can still be disclosed before booking; disclosure does not charge the customer for waiting in advance.

Add the actual waiting time to the invoice

  1. Open the appointment and choose Edit Invoice.
  2. Under Staff-applied charges, choose your waiting charge.
  3. Enter the whole number of Waiting minutes you assessed.
  4. Confirm Appointment proceeds, choose Add charge, review the amount, and save.

The fee uses completed blocks: divide the entered minutes by 15, discard any partial block, and multiply by $15.

Waiting minutesCompleted blocksWaiting charge
0–140$0
15–291$15
30–442$30
45–593$45

The no-show grace period does not add free minutes to this manual calculation. Recording Customer Ready does not automatically add a staff-applied waiting fee.

Check the no-show and existing-booking behavior

Waiting time cannot be added to a no-show, canceled, or unable-to-complete appointment. A no-show action removes saved waiting lines. Any separately configured no-show assessment follows its own accepted policy; this scenario adds no extra waiting fee to it.

Existing bookings retain the waiting configuration saved when they were booked. Changing the charge to Staff applies affects new bookings; it does not silently convert the older deferred workflow, which bills completed blocks after its grace period. Review an older appointment's saved terms before using its workflow actions.

For a new booking, check that waiting is absent from the optional add-ons, the disclosed rate is $15 per completed 15 minutes starting at minute 15, and the prepaid quote includes no waiting charge. In the invoice editor, verify that 14 minutes shows $0, 15 minutes shows $15, and 30 minutes shows $30.
