Create, import, and assign non-RON appointments
You can manually create non-RON appointments: open Create appointment, complete the service, time, address, and payment sections, and save. Leave Remote online notarization off for an in-person appointment. Manual creation does not require importing an email first.
You can also import appointment orders by forwarding the order email to hi@automation.notarycentral.org, then reviewing and approving the pending appointment in Appointments > Import. Review the imported details and signing mode before approval; importing an order is not itself a notary assignment.
Workspace owners and admins can assign workspace appointments, including non-RON appointments, to active, eligible team notaries. In My Team, open the RON settings section and enable Notary assignment; the section also handles non-RON assignments. In Unassigned appointments, select Assign for the eligible member. This is a workspace assignment action, not a free-text change to the appointment's contact details. Pending imports must be approved before routing.
Upcoming and completed appointments
An active workspace admin can use Appointments to view upcoming and past/completed appointments in the shared workspace/member scope. For an admin asking about the entire team, this means the active members and appointments in that shared workspace/member scope, not every account across the platform. Shared visibility stays within that scope; it does not grant access to unrelated notaries' appointments. Workspace Business Suite coverage is a separate prerequisite to paid shared appointment access; this guide does not confirm the subscription or permissions of a particular account.
Use the appointment list to search and filter records, then open an appointment for its details and workflow status. A scheduled date in the past does not by itself prove that the appointment was completed; review its workflow status.
Which notary is assigned?
When workspace Notary assignment is enabled, the appointments table shows an ASSIGNED column. It displays the assigned notary's identifier or Unassigned; some views may fall back to the appointment owner's identifier. Do not treat the creator, a participant name, or a contact field as proof of the assigned notary. Enable and manage assignment in My Team.
Journal oversight
Active workspace owners and admins can view journal records across the journal scope of their workspaces. This administrative read access is distinct from the notary's authority to create and finalize their own records; admin oversight does not authorize recording or signing entries on another notary's behalf. See team journal oversight for the workspace workflow, and use My Team to manage membership.
This describes product access only. It does not determine whether a journal may legally be viewed, disclosed, retained, or exported for a particular state, employer, or request. Keep journal oversight within applicable permissions and requirements; a team subscription is not a legal authorization.
Mileage and business reports
Do not assume one admin has a single report containing every member's mileage and all business activity. The dedicated mileage list is scoped to an individual user's records. Appointment-based business reports can have a shared workspace scope—for example, the unpaid-invoices report uses that scope—but this does not establish that every finance report or every member's personal mileage is included.
For a team reporting requirement, identify the exact report and whether you need appointment-related travel or each member's independent mileage log. Confirm that report's scope before relying on a combined total. See tax report generation for the available reporting workflows.
